Distribution Process

The Laptop Distribution Process will take place during the registration period. The registration date designated by Johnson C. University is January 7, 2003 . The Laptop Distribution Process may exceed the projected dates pending the success of the operation, the rate at which students become validated, and the availability of training sessions. Additional hours of operation and weekend shifts will be added accordingly.  The entire process will consist of three phases: Validation, Training, and Distribution.

I. Validation

Students will handle a variety of necessary tasks during the Validation Process. The IT department will have a booth stationed in the gym. Freshmen and Transfer students are required to take a training session. The IT Booth is the location where freshmen and Transfers will sign up for a training session. Training will be available upon signing up. They can occur simultaneously depending on staffing and student need. The classes will be offered on first come, first serve basis. Upperclassmen will be able to take sessions on Internet and Email setup. Upperclassmen sessions are not required to receive a laptop.

 Upon paying dues, the freshmen and Transfer student will present IT personnel at the booth with a validation slip. It is required to schedule for a training session. The classes will be one hour in length. The IT booth and the Mobile Computing Center are the locations to submit tardy Laptop and Computing Responsibility Agreement Forms. The AS/400 database will track the submission of all agreements and training completion. The results of the Validation Process will be 1) Submission of Fees and 2) Time Slot for class.

II. Training

Gary Morgan, Latasha Bailey, and Senior STA personnel will conduct training for Freshmen, Transfer, and Upperclassmen students. Only topics that are necessary are taught. All other information can be relayed through handouts, email, and student manuals. At the end of class, the training personnel will require the students to sign an attendance sheet.  Students will not receive a computer until one day after all credentials have been satisfied.

III. Distribution

The Distribution Process will occur in the Mobile Computing Center. It is located in the Education Building, Room 101. Personnel at the Mobile Computing Center will verify that students progressed correctly through the cycle via the AS/400 database. The Mobile Computing Asset Manager  and/or any IT staff member of Johnson C. Smith University can sign all hardware assignments.  Because of the unlikelihood of a fully validated student body, our process will be dispersed over the period of one week or more. Students will be given a check-off sheet to return within 24 hours to access any malfunctions. The date issued and signed will be present on the check-off sheet to ensure validity.
